TWAM Enterprises Ltd Privacy Notice

Who we are

TWAM Enterprises Ltd (TWAM EL)

TWAM Enterprises Limited (company number 10940488) manages some commercial activities for Tyne & Wear Archives & Museums (TWAM) such as retailing, catering and venue hire. Its purpose is to enable TWAM to capitalise on the expertise it has already developed in relation to commercial activity.

How we use your information and who it will be shared with

TWAM Enterprises Ltd may look to share your information with the below organisations, in order to continue to improve our understanding of our target audiences and of our supporters. This is with a view to providing visitor-focused experiences, excellent customer service and educational engagement, and to look at ways in which we might in the future use the latest technologies to improve and personalise the services that we offer.


Tyne & Wear Archives & Museums (TWAM)

TWAM is a major regional museum, art gallery and archives service which manages a collection of nine museums and galleries across Tyneside and Tyne and Wear. It is not an incorporated body.  It is supported by the five local authorities of the area (Newcastle, Gateshead, North Tyneside, South Tyneside and Sunderland) and Newcastle University. Newcastle City Council is the lead authority. TWAM holds collections of international importance in archives, art, science and technology, archaeology, military and social history, fashion and natural sciences.

When you make a purchase through TWAM Enterprises Ltd’s online shop, you will be asked whether you wish to join TWAM’s mailing list in order to receive information and offers about TWAM’s museums, galleries and events. If you do, TWAM Enterprises Ltd will pass your contact details to TWAM so that they can contact you. 

TWAM will retain your information for this purpose for 3 years and process it on the basis of your consent. We will delete it earlier at your request.

TWAM Development Trust

TWAM Development Trust (TWAMDT) is a company limited by guarantee number 7334262 and which is registered with the Charity Commissioner under charity number 1137867

The Trust carries out its objectives by raising funds from individual donors, trust and foundations to support a wide variety of museum activities. In doing so, the Trust is able to help Tyne & Wear Archives & Museums achieve its strategic vision of ensuring everyone has access to museum provision, are able to use this access and to value it for the significant and positive impact that it makes upon their lives.

TWAM Enterprises Ltd will share data with TWAM Development Trust if you make a donation to TWAM Development Trust via shoptwmuseums.co.uk You may also be asked whether you wish to Gift Aid your donation. If you do, your name and address will be shared with Gift Aid for processing purposes but not for marketing purposes.

Venue Hire

TWAM Enterprises Ltd will process your data in order to facilitate the booking, organisation and holding of functions at TWAM premises, for invoicing for the costs involved and for any subsequent queries or complaints.

TWAM Enterprises Ltd will keep your data for no more than 2 years, following the date of the event/function before we delete it. We will delete it earlier at your request. 


General Data Protection Regulation

The General Data Protection Regulation (the ‘GDPR’) will become enforceable on 25th May 2018, replacing the Data Protection Act 1998.

The GDPR states that personal data can only be processed if there is a legal ground to do so. The GDPR provides six legal grounds under which personal information can be processed lawfully and stipulates that an organisation’s privacy notice must include reference to this.

The legal bases that TWAM Enterprises Ltd’s uses your personal information are:

(a) Consent: the individual has given clear consent for you to process their personal data for a specific purpose.

(b) Contracts - processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract;

Consent

When you make a purchase through TWAM Enterprises Ltd’s online shop: shoptwmuseums.co.uk you will be asked whether you wish join TWAM’s mailing list in order to receive information and offers about TWAM’s museums, galleries and events. If you do, TWAM Enterprises Ltd will pass your contact details to TWAM so that they can contact you. If you make a donation through shoptwmuseums.co.uk you information will be shared with TWAM Development Trust for processing purposes. You will also be asked whether you wish to Gift Aid your donation. If you do, your name and address will be shared with Gift Aid for processing purposes.

Contracts

If you make an online purchase through shoptwmuseums.co.uk TWAM Enterprises Ltd will need to process your personal information in order to take payment and facilitate delivery. We will retain this data for a maximum of 2 years unless you request for it to be deleted earlier.

If you hire one of TWAM’s venues and/or catering, TWAM Enterprises Ltd will need to process your information in order to facilitate the booking, organise and hold the function, for invoicing for the costs involved and for any subsequent queries or complaints. We will retain this data for data for a maximum of 2 years unless you request for it to be deleted earlier.

TWAM Enterprises Ltd needs to process personal details of suppliers in order to issue orders, make payments or contact suppliers about orders. We will we will delete this information if requested by the individual, or if TWAM Enterprises Ltd no longer intends to work with the supplier.

TWAM Enterprises Ltd acts as both Data Controller and Data Processor, meaning it has overall responsibility for the collection and processing of your personal information.

Complaints, enquiries and feedback

TWAM Enterprises Ltd tries to meet the highest standards when collecting and using personal information. We will not unduly prioritise our interests as an organisation over your interests as an individual. We will always aim to balance our interests with your rights. We will only use personal information in a way and for a purpose that you would reasonably expect in accordance with this notice.

For these reasons, we take any complaints we receive very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.
